
About the Executive Assistant Role
This role exists to make two high-output leaders — our CEO and Operations Manager — faster and more focused. You will own their calendars, close their open loops, and make sure nothing falls through the cracks. You won’t wait to be told what needs attention. You’ll notice it, handle it, and move on.
This is not simply a task-execution role. It’s a judgment role. The right person thinks in systems, communicates with clarity, and takes genuine ownership of the things they’re responsible for.
This is an in-person role. Candidates must live in the Okanagan Valley. Occasional travel to accompany the CEO may be required.

What You’ll Own
Executive Support
- Manage the CEO’s inbox end-to-end — triaging, responding, and flagging only what requires her direct attention
- Own the calendars of both the CEO and Operations Manager with full context on their priorities
- Optimize schedules for deep work, protecting focused time while ensuring recurring commitments are in place
- Prepare briefs ahead of external meetings, media appearances, and partnership calls
- Track open loops across both leaders — follow-ups, outstanding decisions, renewals, and deadlines — and close them without being asked
Partnership & Communications Coordination
- Manage partnership communications and administrative coordination end-to-end
- Coordinate podcast appearances, media opportunities, and speaking engagements
- Liaise with external partners on behalf of the CEO, maintaining professionalism and brand voice at all times
Operational and Project Support
- Maintain organized documentation, shared files, and internal systems
- Support cross-functional coordination across the team to ensure nothing falls between roles
- Identify gaps, inefficiencies, or missing pieces before leadership has to ask
AI and Technology Integration
- Use AI tools to streamline workflows, improve efficiency, and support communication.
- Learn new AI systems quickly and integrate them into daily operations.
- Stay curious and open to emerging tools that improve productivity.
Personal Support That Is Proactive and Discreet
- Anticipate upcoming appointments, renewals, and personal commitments.
- Manage tasks that support overall work and life flow.
Who You Are:
- You have 2–4 years of experience supporting a senior executive or working in a fast-paced operational environment
- You are proactive and resourceful by nature — you spot what needs to happen before being told and can figure things out with minimal direction
- You have exceptional organizational skills and a low tolerance for loose ends
- You communicate with clarity and confidence, including on behalf of others
- You are discreet and trustworthy with sensitive information
- You thrive in a small team environment where priorities shift and no two days look the same
- You are solutions-oriented — when something isn’t working, you come with a suggestion, not just a problem
What Success Looks Like in This Role:
At 90 days, the CEO and Operations Manager have measurably more mental space. Their calendars reflect their actual priorities. Day to day partnership management is being handled without their involvement. Open loops are closing. And you’re already anticipating needs they haven’t voiced yet.

Compensation:
$60,000 – $70,000 per year depending on experience and capability. A small performance based bonus may also be available.
